# FAQ

This page answers the most common questions we hear from members at every level of AIESEC in Denmark. Find your section below based on your role.

## New Members

### 1. What exactly does AIESEC do?

AIESEC is a global youth-run organization that develops leadership through cross-cultural exchanges. We connect young people with internship and volunteer opportunities abroad (outgoing exchanges) and host international participants in Denmark (incoming exchanges). Along the way, every member develops leadership skills by running real projects, managing teams, and working across cultures.

### 2. What is the time commitment?

Plan for approximately 5–10 hours per week during active term. This includes team meetings (usually weekly), a monthly General Body Meeting (GBM), individual tasks, and occasional events. Some weeks will be lighter; others (during recruitment, conferences, or campaign pushes) will be heavier. Your Team Leader (TL) will help you manage expectations.

### 3. I joined but I still do not understand my role. What should I do?

Talk to your Team Leader first. If you still have questions after that, reach out to your buddy (the experienced member paired with you during onboarding). If neither can help, contact your Vice President (VP). There is no such thing as a stupid question in your first month.

### 4. What is Expa and when will I use it?

Expa is AIESEC's global platform for managing exchanges — tracking Exchange Participants (EPs), opportunities, and applications. If you are in an exchange function (outgoing Global Volunteer, outgoing Global Talent, incoming Global Volunteer, or incoming Global Talent), you will use Expa regularly. Your VP or TL will set up your account and walk you through it within your first two weeks.

### 5. How do I access the Google Drive and Slack?

Your VP Talent Management (TM) or Local Committee (LC) admin will grant you access within 48 hours of your acceptance. If it has been more than two days and you still do not have access, send a message to your TL or VP — it may have slipped through the cracks.

### 6. Do I need to pay anything to be a member?

Membership policies vary by LC. Some LCs charge a small membership fee to cover operational costs; others do not. Your LC will communicate this during onboarding. AIESEC in Denmark does not charge a national membership fee to individual members.

### 7. Can I go on an exchange as a member?

Yes. AIESEC members can and are encouraged to go on exchanges. Talk to your oGV or oGT VP about available opportunities. Being a member often makes the process smoother because you already understand AIESEC's systems.

### 8. What if I want to switch to a different functional team?

Talk to your current TL or VP and explain your interest. In most LCs, switching is possible, especially between recruitment waves or at the start of a new quarter. The key is to communicate openly rather than quietly disengaging from your current team.

### 9. What happens if I need to take a break or leave?

Life happens. If you need to step back temporarily, let your TL and VP know as soon as possible. Most LCs can accommodate a leave of absence. If you decide to leave permanently, please let your VP TM know — and consider filling out the [Exit Survey](/surveys/exit-survey.md) so we can learn from your experience.

### 10. How do I get involved in national-level activities?

Attend a national conference (FORTIUS, CITIUS, ALTIUS, etc.), volunteer for a conference Organizing Committee (OC), or express interest to your LCP. National involvement is one of the best ways to grow in AIESEC and build your network across Denmark.

## Team Leaders & Vice Presidents

### 1. What is the difference between a TL and a VP?

A Team Leader (TL) manages a specific team within a functional area (e.g., a team of five members focused on outgoing volunteer recruitment). A Vice President (VP) leads the entire functional area and manages the TLs within it. The VP reports to the Local Committee President (LCP) and sits on the Executive Board (EB).

### 2. How do I handle a disengaged team member?

Start with a private, empathetic conversation. Ask how they are doing — personally and in AIESEC. Listen before you problem-solve. If the issue is workload, adjust tasks. If it is motivation, reconnect them to purpose. If they want to leave, make it a positive exit. The [30-day check-in framework](/recruitment/onboarding-standards.md) is a good structure for these conversations.

### 3. How do I run an effective team meeting?

Keep it short (30–45 minutes), start with a personal check-in, review action items from last week, focus on one or two priorities, and end with clear next steps. Send a short summary in Slack afterwards. Do not let meetings become status report marathons — if a topic only involves two people, take it offline.

### 4. What support can I get from the MC?

Every LC has a designated MC support contact (usually an MC functional manager) who is available for monthly check-ins, troubleshooting, and resource sharing. You can also access templates, education materials, and the Knowledge Hub. If you are struggling, reach out — the MC cannot help if they do not know.

### 5. How do I prepare for transition at the end of my term?

Start your transition document at least four weeks before your term ends. Use the [Transition Document Template](/resources-and-tools/templates-library.md) from the Templates Library. Cover: role overview, ongoing projects, key contacts, what worked, what did not, and advice for your successor. Schedule at least two in-person or virtual handover meetings with the incoming person.

## Local Committee Presidents

### 1. What are my mandatory reporting obligations?

You must submit quarterly financial reports (using the national template), ensure GBM and EB meeting minutes are documented, respond to MC check-ins, and submit data for the National Member Survey (NMS). Specific deadlines are communicated by the MC at the start of each term and at the National Planning Meeting (NPM).

### 2. How do I handle a conflict between EB members?

Address it early and directly. Meet with each person individually to understand their perspective, then facilitate a joint conversation focused on the issue (not personalities). If you cannot resolve it, or if you are part of the conflict, escalate to the MC through the [Case Flow](/recruitment/case-flow.md) process.

### 3. What happens if my LC is falling below national standards?

The MC will issue an advisory notice identifying the gaps and assign a support contact to help you develop a remediation plan. This is a support mechanism, not a punishment. Engage with it honestly and use the resources offered. See [National Standards](/standards-and-compliance/national-standards.md) for the full consequence framework.

### 4. How do I prepare for an LCP election?

Review the election procedures in the National Compendium. Key steps: announce the election timeline to all members (minimum notice as per Compendium), open candidacies, ensure candidates have time to prepare and present, hold the vote with proper quorum and documentation. The MC Vice President can advise on process details.

### 5. Who do I contact when I am stuck?

Your first contact is your assigned MC support person. For governance questions, contact the MC Vice President. For finance, contact the MC Finance Manager. For anything else, the MC President is your escalation point. You are not expected to have all the answers — you are expected to ask for help when you need it.

2. **Ask in Slack.** Post your question in your LC's general channel or the national channel. Someone has probably had the same question before.
3. **Contact your VP or TL.** They are your first line of support for operational questions.
4. **Contact the MC.** For national-level questions, reach out to the relevant MC functional manager or the MC TM Manager.
