# National Standards

National standards are the minimum operational requirements that every Local Committee (LC) in AIESEC in Denmark must meet. They exist to ensure quality, consistency, and accountability across the entity — so that a member in Aarhus has the same baseline experience as a member in Copenhagen, and every exchange participant receives the same standard of care regardless of which LC serves them.

Standards are not ceilings — they are floors. Every LC is encouraged to exceed these minimums. The standards simply define the baseline below which an LC should not fall.

## Standards Categories

AIESEC in Denmark organizes its national standards into six categories. Each category has specific, measurable minimum requirements reviewed on a quarterly basis.

### 1. Exchange Standards

Every LC delivering exchanges must meet:

* **Minimum approvals per product per quarter** as defined by the MC at the start of each term
* **Exchange Participant (EP) preparation:** Every outgoing EP must receive a pre-departure preparation session covering logistics, cultural preparation, safety, and emergency contacts
* **Incoming exchange management:** Every incoming EP must have a confirmed host, a welcome package, and a local contact person before arrival
* **Reintegration:** Every returning outgoing EP must be invited to complete a reintegration survey and offered a reintegration conversation
* **Standards documentation:** Exchange processes must be documented in the LC's functional Drive folder

### 2. Member Experience (MX) Standards

Every LC must provide:

* **Onboarding:** All new members complete the national onboarding baseline (see [Onboarding Standards](/recruitment/onboarding-standards.md))
* **General Body Meetings (GBMs):** Minimum one GBM per month during active term
* **Team meetings:** Functional teams meet at least weekly
* **30-day check-ins:** Every new member has a documented 30-day check-in conversation
* **National Member Survey (NMS):** LC achieves minimum response rate as set by MC TM (typically 70%+)
* **Personal Development Plans (PDPs):** Every member in a leadership role (TL and above) has a documented PDP reviewed at least once per term

### 3. Governance Standards

Every LC must maintain:

* **Executive Board (EB):** A functioning EB with defined roles, meeting at least biweekly
* **Election process:** LCP elections conducted according to the National Compendium, with proper notice, quorum, and documentation
* **Transition:** Outgoing EB completes a documented transition to the incoming EB (minimum: transition document and two transition meetings per functional area)
* **Compendium compliance:** LC operations aligned with both the National Compendium and the Global Compendium
* **Meeting minutes:** EB meeting minutes documented and stored in the LC Drive

### 4. Finance & Legal Standards

Every LC must:

* **Budget:** Submit an annual budget to the MC Finance Manager before the deadline set each term
* **Reporting:** Submit quarterly financial reports using the national template
* **Bank account:** Maintain a dedicated LC bank account (not a personal account)
* **Receipts & documentation:** Retain receipts for all expenditures above 100 DKK
* **Audit readiness:** Be prepared for internal or external audit at any time (see [Audit Checklist](/standards-and-compliance/audit-checklist.md))
* **Legal entity compliance:** Maintain valid registration as a student organization or forening as required by Danish law

Financial non-compliance is one of the most common reasons for LC sanctions. If you are unsure about a financial obligation, contact the MC Finance Manager immediately — do not guess.

### 5. Partnership & Business Development (BD) Standards

Every LC engaging in partnerships must:

* **Partnership agreements:** Use the national partnership agreement template for all formal partnerships
* **Delivery tracking:** Track partnership deliverables and report fulfilment quarterly
* **Ethical partnerships:** Only engage with organizations that align with AIESEC's values and do not conflict with the Global Compendium's partnership restrictions
* **Handover:** All active partnerships must be documented and handed over during EB transition

### 6. Marketing & Communications Standards

Every LC must:

* **Brand compliance:** Use only approved AIESEC brand assets (logos, fonts, colours) as defined in the BlueBook and national brand guidelines
* **Social media:** Maintain at least one active social media channel (Instagram recommended) with regular posting during active term
* **National campaigns:** Participate in nationally coordinated campaigns when launched by the MC MKT Manager
* **Content approval:** All externally published content (press releases, partnership announcements) must be reviewed by the LCP before publication

## Consequence Framework

When an LC falls below national standards, the following consequence framework applies. The goal is always to support the LC in getting back on track, not to punish.

### Step 1 — Advisory Notice

**Trigger:** LC misses one or more standards in a quarterly review.

**Action:**

* MC issues a written advisory notice identifying the specific gaps.
* MC assigns a support contact (usually the relevant MC functional manager) to help the LC develop a remediation plan.
* LC has 30 days to present a remediation plan to the MC.

### Step 2 — Formal Warning

**Trigger:** LC does not submit a remediation plan within 30 days, or the same standards gaps persist for two consecutive quarters.

**Action:**

* MC issues a formal warning, documented and shared with the LCP and LC EB.
* MC and LC agree on a binding improvement plan with specific milestones and deadlines.
* MC increases monitoring frequency (e.g., monthly check-ins instead of quarterly).

### Step 3 — Probation

**Trigger:** LC does not meet the milestones in the improvement plan, or standards violations are severe or repeated.

**Action:**

* LC is placed on probation by the MC, with support from the Entity Control Board (ECB) if governance issues are involved.
* Probation may include restrictions on LC operations (e.g., temporary suspension of exchange delivery, mandatory MC oversight of financial transactions).
* The LC has a defined probation period (typically one quarter) to demonstrate compliance.

### Step 4 — Escalation to ECB

**Trigger:** LC fails to exit probation, or the issue involves governance breaches, financial misconduct, or ethics violations.

**Action:**

* Case is referred to the ECB under the formal case flow process (see [Case Flow](/recruitment/case-flow.md)).
* The ECB may impose sanctions up to and including suspension of the LC's status.

The consequence framework is applied progressively. Direct escalation to Step 3 or Step 4 is reserved for severe cases (e.g., financial fraud, safety violations). In routine cases, the process always starts at Step 1.

## Standards Review Cycle

| ------------ | --------------------------------------------------------------------------------- |
| Q1 (Aug–Oct) | Standards communicated at NPM. LCs set plans to meet them.                        |
| Q2 (Nov–Jan) | Mid-term review. MC checks progress and issues advisory notices if needed.        |
| Q3 (Feb–Apr) | Second review. Formal warnings issued if gaps persist.                            |
| Q4 (May–Jul) | End-of-term review. Final assessment feeds into LC standings and term transition. |
